We’ve recently added the ability to send personalized emails from Batchbook via Gmail. This is great for one-off communication. Sometimes you want to send the same message to a group of contacts, or schedule your messages to be automatically sent.
With our latest update to our CRM automations, you can do just that.
Announcing email automation in Batchbook!
With this new feature, you can:
- Send a personalized email to a contact when you add a specific tag
- Send a notification about a contact to yourself or your team
- Send a series of welcome messages when a new contact is added from a webform
- Send emails to a group of contacts that you batch tag
Send a personalized email to a contact when you add a specific tag
Set up a new automation to send an email when a contact is tagged. You can use any tag, though we suggest adding something like “auto-” or “email-” in front of it. This will show all users that the tag is part of an automation.
Personalize the email by merging in your contact’s name and any other personal details.
Once set up, you can fire off an email just by adding a tag, such as “auto-welcome”, to a contact. The email sends from your connected Gmail account and saves as a communication in Batchbook.
Send a notification about a contact to your team
You can use an automation to send emails directly to your contacts, or to any email you specify. This is great for setting up internal notifications for you and your team.
For instance, if you tag contacts that need follow up, you can set up an automation to email a notification. This is especially helpful if you want to let a team member know that action needs to be taken on a contact.
Send a welcome series when a new contact is added from a web form
Your automation will work even when it’s an integration adding a tag. If you collect leads from a connected web form like Formstack you can set them up to be tagged when they come in.
From there, you can set up an automation to welcome your new lead and send them a series of personalized educational emails. This is a great way to turn a warm lead into a hot prospect.
Send emails to a group of contacts that you batch tag
Another cool way to use this new feature is to send an email to a group of contacts. Set up your automation to send a personalized email based on a tag.
Next, you can look up a specific group of contacts using advanced search. Once you have your group, just use batch actions to add a tag to all of them, and each will get a personalized email from you. Just keep in mind that Gmail may limit how many emails you can send during a day. If you are sending hundreds of emails, we suggest using a tool like MailChimp.
