Batchbox is an all around team favorite! Whether your goal is staying in touch with clients, sharing information with the team or both – Batchbox is the answer. Using your Batchbox address allows you to quickly pull your email conversations into Batchbook and attach them not only to the client but the user record as well.
Share Conversations with a Team
Pulling conversations into Batchbook allows your whole team to share important information about what’s happening in your client relationship without tons of forwarding and cc’ing one another on random client emails. It allows you to help keep your co-workers email inbox a little cleaner, which means everyone is a tad more productive.
If your colleagues need to take a peek at what’s going on, all they have to do is log into Batchbook and take a look at the client’s record. There they’ll have the most up to date information at their fingertips.
Part of a Balanced Communication Diet
While you and your team should be logging all communications (phone, chats, emails, etc) in Batchbook, using your Batchbox email address makes logging emails a snap. For more details on how to use Batchbox check out our knowledge base articles and short tutorial screencast.
Every time you log a communication in Batchbook – manually or via Batchbox – we track the date of that communication on the contact’s record. This means that by using Batchbox consistently and logging other communications as they occur, you also benefit from using the Advanced Search for ‘communicated with’. It’s a fantastic way to quickly determine which contacts haven’t been communicated with in a particular time frame. This way you can quickly gauge which clients need some TLC before they fall through the cracks and you lose touch.
A few tips from the Pro’s to make your Batchbox experience the best:
- Don’t Batchbox EVERY email. Only the ones pertinent to your clients and conversations. You can end up with lots of SPAM and unnecessary contacts when using Batchbox too aggressively.
- If you’d like to use Batchbox to track emails from multiple email addresses (your work, personal, etc), that’s no problem. Just be sure to add all your email addresses to your own contact record in Batchbook.
- Be sure to customize your Batchbox tag in settings. This tag will help you quickly filter and see your communications down the road.
