Working from the coffee shop this morning I gaze down a quaint southern street filled with a combination of pumpkins, mums, hay bales and, already, Christmas lights. This small town is often celebrated for their holiday Lights Festival but I’m guessing you’re seeing hints of the holidays on your street corners as well.
Each year as we’re deciding how we’ll share holiday cheer as a company I start prepping my family & friends list too. While I love plastering my loved ones with pics of my adorable brood, I run into the same stumbling block every year — old addresses! My friends move around a bit and I’ve been quite lax about keeping their addresses current. This means each year I’m met with either an abundance of returned envelopes or resigned to not sending half the cards I’d like because I know my information is out of date. This year I’m tackling the issue head on with the help of Batchbook Automations. No more leaving anyone out! 🙂 And since keeping contact information current is a universal struggle, I’d like to share my method with you!
Create new Automation based on a tag
I’ve already created my mailing list and my labels are ready to go. Since email addresses are less likely to change I’ll rely on Automation powered emails to help reach out to those friends and family whose cards are returned to collect updated addresses.
I’ve created an Automation here based on a tag ‘bad address’.
Tag Contacts in Batchbook when cards are Returned
When I receive a returned card I’ll quickly tag the contact in Batchbook with the ‘Bad Address’ tag which will now trigger an email to my friend or family member asking them to share their new address with me.
Automatically send request for update
I’m using Merge fields to automatically include their first name to help keep it personal. When I receive their email response it’s a quick update in Batchbook and we’re ready to go! And just like that I’m on the road to up-to-date addresses and keeping in touch with friends & loved ones this holiday season!
